Client Experience Manager
Why Join the Body Motion Team?
We have the best clients. Truly. We get to help women through an exciting season of life, connect with them each week, and even get baby photos at the end. We also support women struggling with pelvic floor symptoms or pain so they can feel better and live their best lives. This position will be remote 4 days and in the office on Fridays.
Our culture is positive, encouraging, and fun. No drama, we promise.
We are professional, but real. You’ll find GIFs in the group chat, baked goods in the kitchen, and plenty of coffee runs.
We all care. It’s hard for a hard worker to be surrounded by people who barely do their part. Our team is full of A-players who take ownership and stay accountable.
As a small business, what you do, what you need, and what you think matters. Your opinions are valued here.
One of our key values is growth, whether that’s personal growth, team growth, or business growth. We believe in leveling up, supporting our team members, and promoting from within. We also provide ongoing education and business coaching.
Your life experience counts. Not everyone has access to the same opportunities. Whether you went to college or not, this job could be yours.
No micromanaging. Our to-do lists are full, and we trust each person to own their role. We provide thorough training and ongoing support, and we’re always available for questions, but there is a lot of independence in this position.
We have systems in place. You won’t walk in and have to create your job from scratch or figure everything out on your own. Input and ideas to improve our systems are always encouraged.
Now that you know you want to join our team, here’s what you’ll be doing.
What You’ll Do
You’re the first person our clients get to talk with. We are not a typical healthcare office. We don’t just collect date of birth, insurance, and a time that works. A key part of what we do is understanding what’s going on, how long it’s been happening, how it’s impacting their life, and explaining how we can help.
Provide an exceptional client experience. You’ll reassure potential clients that pelvic floor physical therapy is the right next step for them.
Schedule Free Consultations for new leads. We offer these because we know healthcare, especially women’s health, can feel uncomfortable. Education and trust are essential.
Follow up with clients and leads. How many times have you gone to the doctor and then never heard from them again? We love checking in after the consult, after the Initial Evaluation, and sometimes just because.
Support scheduling. You’ll help reschedule existing clients and schedule new clients.
Keep records updated. You’ll update all information in our ERM and CRM systems with complete and accurate details.
Participate in training and coaching to grow personally and professionally.
Skills This Position Requires
Confidence. We want someone clients can connect with and trust over the phone, someone who helps them believe they can achieve their goals with our team’s support.
Strong communication. You’ll need to adapt your approach based on each lead or client’s specific needs and provide a high level of support.
Extreme attention to detail and strong organization. Updating all fields in our database is critical for smooth workflow and processes.
Excellent project and time management skills
Ability to work independently and meet deadlines
Excellent verbal and written communication skills
Comfort using Google Drive, CRM systems, ERM systems, and digital software tools
